A quote lets you present a detailed cost breakdown to the couple before any money changes hands. Quotes can be shared via the portal for the couple to review and accept.
Creating a quote
Open a wedding record, go to the Billing tab and click New Quote. Weddinguru automatically assigns the next quote number in sequence (e.g. QUO-0001). You cannot change quote numbers — they increment automatically for audit purposes.
Select the quote date. This defaults to today.
Line items
Add line items with:
- Description — what the item is (e.g. "Venue hire — main hall")
- Quantity — number of units
- Unit price — price per unit
- Visibility — whether this line item shows in the portal or is for internal reference only
The subtotal, tax amount and total are calculated automatically. Apply a tax rate (e.g. 20% VAT) if required.

Grouped line items
Line items can be grouped under a heading for clarity. To create a group:
- Add a line item and tick Is Group — this marks it as a section header.
- Add further line items and set their Parent to the group header.
In the portal, grouped items appear collapsed under the group header by default, keeping the quote clean. Individual items can be toggled visible or hidden independently.
Valid until date
Set a Valid Until date — the default is 30 days from today. The quote does not automatically expire after this date in the system, but it serves as a reference for your team and the couple to understand the price guarantee period.
Sending to the couple
When the quote is ready to share, set it to Sent status and ensure Show in Portal is enabled. The couple will see the quote the next time they open their portal. There is no automated email notification — if you want to alert them, send a message through the Message Centre or contact them directly.
