Every wedding has a freeform notes field for capturing internal information that your team needs but that couples should never see.
What notes are for
Use the notes field to record anything relevant to the wedding that does not belong in a structured field. Common uses include:
- Couple preferences and quirks ("bride is lactose intolerant", "groom's family feud — keep them separate")
- Internal reminders ("confirm AV hire by March", "awaiting signed contract")
- Follow-up actions not yet turned into tasks
- Source of enquiry (how the couple found you)
- Anything flagged in a phone call that doesn't fit elsewhere
Adding a note
Open the wedding record and click Edit Wedding. The Notes field is a freeform text area — type anything you need and save. Updates to notes are immediate and visible to all team members who have access to the wedding.
Notes vs. the Message Centre
The key distinction:
- Notes — internal only. Visible to your team. Never shared with the couple.
- Message Centre — a conversation thread shared with the couple via their portal. Use this for any communication you want the couple to see.
If you need to communicate something to the couple, use the Message Centre instead. If a note accidentally contains something personal or sensitive, review your portal visibility settings to confirm it is not being shared.
