The Venue Hire module records all the details of the venue being hired for the wedding — contact information, capacity, features, hire status, and costs. It integrates with billing so that hire charges can be pulled onto quotes and invoices.
Overview
Add the Venue Hire module from the Modules section. Once added, a venue hire package is created for the wedding. This module is designed for venues that manage their own hire — recording their own venue details and hire configuration.
Venue details
The package records the venue's details:
- Venue name, type, address, and postcode
- Phone number, email, and website
- Contact name and role (e.g. "Events Manager")
- A description of the venue
Venue types include: Barn, Castle, Country House / Manor, Hotel, Church, Garden / Grounds, Marquee / Tent, Restaurant, Vineyard / Winery, Beach, Rooftop, Village Hall, Registry Office, Stately Home, Warehouse / Industrial, Boat / Yacht, Outdoor / Open Air, and Other.
Capacity
You can record separate seated and standing capacities. These are reference values used in planning and may be shown in the portal.
Hire status
The hire status tracks the booking stage for this venue:
- Enquiry — initial expression of interest
- Provisional Hold — date being held pending confirmation
- Confirmed — booking confirmed
- Deposit Paid — deposit received
- Fully Paid — all payments received
- Cancelled — booking cancelled
Features
You can record which facilities and features the venue includes — for example: Bar, Toilets, Kitchen, Dance Floor, Stage, PA / Sound System, Wi-Fi, Parking, Disabled Access, Bridal Suite, Garden / Grounds, Terrace / Patio, Cloakroom, Air Conditioning, Heating, Outdoor Ceremony Space, Guest Accommodation, Fire Pit, Lighting Rig, Projector / Screen. Features are grouped into categories: Facilities, Catering & Bar, Accessibility, Outdoor Spaces, Accommodation, Entertainment, Parking & Transport, Safety & Compliance.
Costs
The module records hire costs: a hire fee, any set-up fee, and any break-down fee. An overall budget reference, internal notes, and client notes can also be added.
Billing items
The Venue Hire module generates billing items from the hire fee and any additional fees recorded. These appear when clicking Add from Modules on a quote or invoice.
Portal visibility
When enabled for portal visibility, the couple can see venue details — name, address, capacity, selected features, and the hire timeline. Cost information is only shown if pricing disclosure is enabled for this module. Internal notes are never shared.
