The Documents module provides a per-wedding document management workspace. It supports document templates with variable placeholders, generated documents, uploaded files, and e-signature capture — all with a full audit trail.
Overview
Add the Documents module from the Modules section on the wedding record. Once added, a document store is created. From here you manage templates, generate documents, upload files, and send documents for signing. Note that this is separate from the account-wide Files section — the Documents module is specifically for wedding documents such as contracts, agreements, and signed forms.
Document templates
Templates are reusable document blueprints with variable placeholders such as , , . When you generate a document from a template, the placeholders are replaced with the wedding's real data. This lets you standardise contracts and agreements and generate them instantly for each wedding.
Documents
A document can be created by generating from a template, or by uploading an existing file. Each document has a name, a type, optional notes, and a recipient name and email for signing.
Document types & statuses
Document types: Contract, Agreement, Terms & Conditions, Invoice, Quote, Proposal, Checklist, Itinerary, Letter, Certificate, Other.
Document statuses track the lifecycle:
- Draft — being prepared
- Sent — sent to the couple
- Viewed — the recipient has opened it
- Signed — signed by the couple
- Countersigned — countersigned by your team
- Completed — fully executed
- Expired — signing deadline passed
- Cancelled — withdrawn
- Invalidated — signatures cleared and document reset
E-signatures
Documents sent for signing include a signature capture panel built on HTML5 Canvas. The couple can sign directly in the portal using a mouse, trackpad, or touchscreen. Each signature is recorded with the signer's name, email address, IP address, and timestamp. Countersigning by your team is supported as a second stage.
Audit trail
Every document has a full audit trail logging: Created, Edited, Sent, Viewed, Signed, Countersigned, Downloaded, Cancelled, Expired, Invalidated, and Signatures Cleared events. Each entry records who performed the action and when. This provides a tamper-evident record for contractual purposes.
Portal & sharing
Documents enabled for portal visibility appear in the couple's portal. They can view and sign documents directly from the portal without needing a separate login. The module can also be used for internal documents that are never shared — simply keep portal visibility off for those documents.
