When a team member leaves, you can deactivate their account to immediately block their access while retaining all their work history. Deletion is also available if you want to free up their username or email address.
Deactivating a user
- Go to Venue Management → Users.
- Click the user's name to open their record.
- Click Deactivate User.
- Confirm the action.
A deactivated user cannot log in. Their account record is retained. Their username and email address remain in the system and cannot be reused by a new user while the account is deactivated. Any work they created — notes, tasks, wedding records, billing documents — remains unchanged.
Reactivating a user
To restore a deactivated user's access, open their user record and click Reactivate User. Their account is restored with the same permissions they had before deactivation. They will need to log in again and complete their normal login flow (including 2FA if configured).
Deleting a user
Deleting a user performs a soft-delete: the user's login is permanently blocked and their username and email address are freed up for reuse by new users. Their historical records (weddings, tasks, notes, messages they sent) are retained in the system.
- Open the user's record.
- Deactivate the account first if it is active.
- Click Delete User and confirm.
A deleted user cannot be restored. Only use this option if you are sure you want to permanently remove their login access and free their credentials for reuse.
Last admin protection
Weddinguru will not allow you to deactivate or delete the last admin on the account. This prevents accidental lock-out. If you need to remove the last admin, first promote another user to admin, then deactivate or delete the original admin.
What happens to their data
All records created by or assigned to a deactivated or deleted user remain intact. Wedding records, couples, tasks, notes, and billing documents are all preserved. The user's name may appear in the "created by" or "assigned to" fields on historical records even after their account is removed.
