Invoices are the formal payment requests you send to couples. Weddinguru tracks outstanding balances automatically as you record payments against them.
Creating an invoice
Go to a wedding's Billing tab and click New Invoice. An invoice number is generated automatically in sequence (e.g. INV-0001).
Invoice fields
- Invoice date — defaults to today
- Due date — when payment is required; set this to enforce your payment terms
- Line items — same structure as quotes: description, quantity, unit price, optional grouping and visibility
- Tax rate — apply a VAT or other tax percentage to the subtotal
- Show in Portal — toggle whether the couple can see this invoice in their portal
- Notes — any internal notes about this invoice
Invoice statuses
- Unpaid
- No payments have been recorded. The full amount is outstanding.
- Partially Paid
- One or more payments have been recorded but the total is less than the invoice total.
- Paid
- Payments equal to the invoice total have been recorded. The invoice is settled.
- Overdue
- The due date has passed and there is still an outstanding balance. Weddinguru does not automatically chase overdue invoices — this status is for your information.
- Refunded / Partially Refunded
- A full or partial refund has been recorded against the invoice.
Statuses update automatically when you record payments or refunds — you do not need to change them manually.
Creating from a quote
The fastest way to create an invoice is to convert an Accepted quote using the Convert to Invoice button. All line items are copied across and you just need to set the due date. See Quote statuses for more detail on this process.
